How to Ask for More Time

4 min readWork

Needing more time doesn't mean you've failed — it means you care about the quality of your work. But asking for a deadline extension can feel like an admission of weakness. The truth is, flagging it early and proposing a plan is far more professional than delivering rushed, incomplete work.

Why this is hard

There's a deep fear that asking for more time makes you seem slow, unreliable, or not up to the job. You might worry that people will question your competence or commitment. So you stay quiet, work late, and deliver something half-baked instead of having the honest conversation.

What Assertiveness Looks Like Here#

Asking for more time is a form of quality control. It shows you take the work seriously enough to be honest about what it needs. The key is to ask early, explain why, and propose a realistic new timeline — not to apologize endlessly or make excuses.

What to Say#

Gentle#

Gentle

When to use: Use when you realize early that you'll need more time and want to raise it before it becomes urgent. Good for supportive managers or low-stakes situations.

I wanted to give you an early heads-up — I'm making good progress on this, but I think I'll need a bit more time to do it properly. Would it be okay to move the deadline to [new date]? I want to make sure the quality is there.
Alternative Version
I'm working through this and it's going well, but it's more complex than I initially expected. I'd like to push the deadline by [timeframe] to make sure I deliver something solid. Does that work?
Short Version
I'm on track but may need an extra [day/few days]. I want to make sure the quality is right — does that work?

Balanced#

Balanced

When to use: Use when you need to be straightforward about needing more time. Works well for most professional relationships.

I want to be upfront — I don't think I can deliver this at the quality it needs by [current deadline]. Here's where I am: [brief status]. I'd like to propose [new deadline] so I can deliver something thorough. I wanted to flag this now rather than wait until the last minute.
Alternative Version
I've been working on this and I need to be honest about the timeline. To do this properly, I need until [new date]. I'd rather be transparent now than rush something that doesn't meet the standard.
Short Version
I need more time on this. I'm proposing [new date] so I can deliver quality work. Wanted to let you know now.

Firm#

Firm

When to use: Use when the original timeline was unrealistic, when scope has crept, or when you've been given competing priorities that make the deadline impossible.

I need to flag that this deadline isn't realistic given the current scope and my other commitments. I've been working on this consistently, but delivering something credible requires more time. I'm proposing [new date], and I want to discuss how we got here so we can plan better going forward.
Alternative Version
I want to be direct — the timeline on this doesn't work. Between [competing priority] and the scope of this project, I can't deliver quality work by the original date. I need until [new date] and I'd like to align on that.
Short Version
The original deadline isn't realistic. I need until [new date] and I want to align on that now.

Text-Message Version#

I want to be upfront — I need a bit more time on this. I'd like to move the deadline to [date] so I can deliver quality work. Let me know if that works.

What Not to Say#

Better Rewrite Examples#

Before

I'm so sorry, I know it was due Friday, I just got so busy with other things and I couldn't get to it and I feel terrible...

After

I wanted to flag this early — I need a few more days to deliver this at the quality it deserves. I'd like to propose Monday as the new deadline. Here's where I am so far.

Before

I'll try to have it done but honestly I'm not sure. It might not be great. Sorry.

After

I want to be honest about the timeline. To do this properly, I need until [date]. I'd rather deliver quality work a few days late than something rushed on time.

Quick Practice#

Reflect

Think about the last time you needed more time on something but didn't ask. What stopped you? Write a version of the ask using one of the scripts above.
